Situation Analysis

HCRS has served as the prime staffing contractor for medical record coding services at WHMC since 2003. Under this contract, medical record technicians were required to have at least one year of experience in a Medical Records Department; medical record clerks had to have at least three months of experience. On average, HCRS’ technicians and clerks had seven years of experience in a Medical Records Department and in many cases had direct experience working at WHMC for more than five years.

Solution

HCRS has used a proactive recruitment strategy to maintain at all times a list of nearly 10 qualified administrative clerks. This strategy has enabled us to replace staff within days when and if a position becomes vacant. HCRS has continued to maintain 100 percent of the staffing levels required by the contract at all times.

Originally, WHMC clinics were requesting additional coders to solve coding timeliness and completeness issues. HCRS helped the customer realize that the problem would not be solved by adding more coders, but rather by adding dedicated technicians to help improve the clinics’ processes for data flow and records management facilitation. HCRS’ demonstrated performance in improving clinic processes in this area convinced the customer that this was, in fact, the right solution.

Over the life of this contract, HCRS helped U.S. Air Force recover more than $6 million dollars in savings by identifying and resolving process improvements in the medical coding and auditing area.
